Mammoth Lakes Swim Team

President Oversees board meetings, sets agendas, and serves as the primary liaison between the team, the Town of Mammoth Lakes, and pool administration. Supervises board members and coordinates meet sanctioning with Pacific Swimming.

Vice President Assists the President and steps in as needed. Oversees registration, organizes tryouts, coordinates team picture day, and manages end-of-season awards and medals.

Treasurer Manages team finances, including budgeting, collection of registration fees, and payment of team expenses. Provides regular financial reports to ensure transparency and stability.

Secretary Maintains team records, meeting minutes, and bylaws. Handles team correspondence and assists with publicity, fundraising materials, and meet programs.

Registrar & Webmaster (SwimTopia Administrator) Manages athlete registration, maintains the SwimTopia database, and updates the team website. Ensures meet entries and communication tools function properly.

Volunteer Coordinator Manages volunteer sign-ups in SwimTopia and ensures all meet-day positions are filled. Serves as the central point of contact for volunteer coordination.

Fundraising & Sponsorship Coordinator Organizes team fundraisers (such as the Shark-A-Thon) and secures sponsorships from local businesses. Works closely with the Treasurer to meet fundraising goals.

Concessions & Hospitality Lead Oversees food and beverage sales at home meets, including planning, purchasing, and supervising volunteers working concessions.

Apparel & T-Shirt Coordinator Manages design, ordering, and distribution of team suits, apparel, and spirit wear. Coordinates with vendors to ensure timely delivery.

Lane Timers The best seat in the house. Timers use stopwatches to record official times for swimmers in their assigned lane. No experience is necessary; training is provided before each meet.

Stroke & Turn Officials Trained volunteers who ensure fair competition by observing swimmers’ technique. Requires certification through Pacific Swimming and a background check.

Colorado Timing System Operator Works in the timing booth to operate the electronic timing system and coordinate with the Computer Manager. This is a technical role.

Clerk of Course Organizes swimmers into heats and lanes and ensures they are ready and in the correct place before each race.

Announcer Calls events and makes official announcements during the meet, including announcing swimmers’ names and lanes for each heat.

Runner & Ribbons Runners collect time slips from timers and deliver them to the scoring table. Ribbon volunteers label and organize awards for swimmers.

Set-Up & Clean-Up Crew Helps prepare the facility before meets (tents, lane lines, equipment) and ensures everything is properly packed and cleaned afterward.
